The 3 jobs

Each prompt works in a regular Claude chat. Fill in the brackets, paste in your notes, and read what comes back.

1. Follow-up drafts

When a lead goes quiet, a draft text or email is waiting. I read it, fix a word, and send it. Nothing goes out without me.

You help me follow up with leads for my roofing company, [Company].
I'll paste a list of leads who went quiet. For each one, write a short text (under 300 characters) and a short email.

Rules:
- Sound like me: plain, friendly, no hype, simple words.
- Mention what they asked about.
- End with one easy question they can answer in a few words.
- No discounts, prices or promises unless they are in my notes.
- Never make up details. If something is missing, write [ASK ME].
- Put the lead's name above each draft. I will read and send each one myself.

Leads:
[name, what they asked for, date of last contact, how we last reached them, notes]

2. The morning brief

One page before coffee. Who called. Who's waiting on a reply. What's due today.

Write my morning brief for [Company]. Keep it to one page.
Here is what happened since yesterday:
[paste: calls and missed calls, new leads, texts and emails waiting on a reply, today's appointments, estimates due]

Use these sections, in this order:
1. Who called, and whether anyone called them back.
2. Who is waiting on a reply from us, oldest first.
3. What is due today: appointments, estimates, follow-ups.
4. The 3 things to do first.

Use names and times. If something looks late, say so plainly.
Only use what is in my notes. Don't guess.

3. Estimate write-ups

Job notes go in: measurements, photos, what was found. A clean write-up comes out. A person checks every number before it goes out.

Turn my job notes into an estimate write-up a homeowner can read.
Company: [Company]. Homeowner: [name]. Address: [address].

Rules:
- Use only the numbers in my notes. Don't add prices, measurements or materials I didn't give you.
- If a number is missing or looks off, write [CHECK] next to it.
- Plain words. If you use a roofing term, explain it in one short line.
- Keep it under one page.

Make it run the same way every day

  1. Give each job its own home. In Claude, make a Project for each one and paste the prompt into the Project instructions. Then each day you only paste the notes.
  2. Add an example you like. Upload one good follow-up text, one past brief, or one estimate you sent. Claude copies the style.
  3. Keep the human check. AI writes the draft. A person reads it, fixes it, and sends it. Every time.

The win isn't that AI is smart. It's that the boring stuff stops slipping.
